From approved timesheets to the client invoice

Your team records hours on the tasks they work on. The project manager approves them. Approved hours become an invoice draft that waits for its own approval before anything is sent.

Month end, and the invoice is late again: hours sit in spreadsheets, half of them unapproved, and nobody can say which ones the client has already been billed for. The answer is not a faster spreadsheet; it is one record where hours are approved once and billed once.

How it works in ApprovedFlow

  1. 1

    Hours on the task

Each person records hours against the task, by hand or with the built-in timer. Entering time is never refused; a mismatch with a project rule is marked with the action that settles it.

  2. 2

    Approval by the project manager

Submitted hours go to the project's named manager by default. A company, a department or a single project can set its own approval chain instead.

  3. 3

    Invoice from approved hours

Generate invoice on the project's Finance tab puts the approved hours that are not yet billed on an invoice draft. A task billed by its own amount is not billed again by its hours.

  4. 4

    Approval before it is sent

The invoice draft follows the company's invoice approval chain. A project can also draft its invoices automatically every day; each draft still waits for approval.

Questions

Can an hour be billed twice?

No. Hours already on an invoice are left out of the next one, and a task billed by its own amount keeps its hours off the hours invoice.

Who approves timesheets?

By default, the project's named manager. Your company can define a different chain for the whole company, for a department or for one project.

Does ApprovedFlow collect the payment from the client?

No. ApprovedFlow prepares the invoice and tracks its approval; your client pays you through your usual bank, and the collection is recorded on the project.
