Terms of Service

1. The service

ApprovedFlow is a project and work management platform: projects, tasks, documents, approval workflows, and finance tools, in Arabic and English. These terms are an agreement between you (the organization that creates an account) and ApprovedFlow.

2. Accounts

You must provide accurate information when creating an organization and keep your credentials secure. You are responsible for activity under your organization's accounts. Each user account belongs to one person and may not be shared.

3. Plans, pricing, and billing

The Free plan is free forever within its limits (5 users, 3 active projects, 500 MB storage, 5 AI calls per day). Paid subscriptions are priced per user per month: each paid user includes the core (projects, tasks, documents, core workflow, finance), and optional feature modules are added per user. Annual billing is charged once per year at ten times the monthly price; monthly billing is collected by card autopay. Prices exclude VAT and other applicable taxes.

The prices in effect when you subscribe stay yours: price changes create a new package version and never apply to an existing agreement without your consent. Adding users or features mid-term adjusts the invoice from that day.

Card payments are processed by our payment partner as merchant of record; bank transfer is available for annual and institutional billing. Card details never touch our servers.

4. Non-seated users

Consultants, trainers, external vendor users, and client contacts do not require a paid seat, up to 10 non-seated users per paid user.

5. Cancellation and downgrade

You can cancel any time, effective at the end of the paid period. Your organization then returns to the Free plan: you choose which projects stay active within Free limits, the rest become read-only archives. No data is deleted because of a downgrade. Refunds are handled per our Refund Policy.

6. Your data

Your data belongs to you. We process it only to provide the service, as described in the Privacy Policy. You can export your data. We keep backups and apply industry-standard security controls.

7. Acceptable use

Do not use the service to break the law, infringe others' rights, send spam, attempt unauthorized access, or resell the service without written agreement. We may suspend accounts that put the platform or other customers at risk, and will tell you why.

8. Service quality

We work to keep the service available and fast, with planned maintenance announced in advance. The service is provided "as is"; to the extent permitted by law, our total liability for any claim is limited to the amounts you paid for the service in the twelve months before the claim.

9. Changes to these terms

If we change these terms, we will notify account owners by email and in the product before the change takes effect. Continued use after the effective date means acceptance.
